Job Description
Burn is seeking a Field Operations Officer - Electric who will oversee warehouse and facility operations, inventory planning, inbound and outbound logistics, and system performance to ensure efficient management of electric products across the country.
The role also leads team coordination, data analysis, and after-sales processes, acting as a key link between operations, commercial, finance, and support functions to drive operational excellence and accountability.
Duties and Responsibilities
- Warehouse and Facility Management
- Assure the implementation of the best storage methods and proper space management in the Warehouse
- Communicate with other departments to ensure products are shipped promptly
- Ensure the implementation of the warehouse health and safety policy and protocol amongst the team in the WH
- Manage the segregation and disposal of waste generated by the production team in the WH facility
- Coordinate with the Production manager/Supervisor for the WH Assets maintenance
- Identify key areas for cost reduction within the warehouse consumables
- Liaising with the security team and monitoring all in/out movement of staff and material and keeping a proper report updated
- Assure that all safety signages are properly placed within the WH (interiorly and externally)
- Coordinate with IT team for weekly CCTV report to identify security breaches and take proper improvement/mitigation actions
- Ensure that PRF's for the WH consumables (drinking water, electricity and Internet) are submitted on time to avoid blackouts and personnel demotivation
- Develop a strong relationship with the Landlord and assure their monthly rent are paid on time
- Coordinate or communicate with the Landlord about all facility maintenance
- Liaison with the procurement Assistant for all consumables (electric) delivery and keep them properly stored
- Planning, Coordinating and managing the disposal and waste generated from the production team in the factory.
- Inventory Planning and Management
- Lead inventory planning and management efforts in the country
- Monitor data in the Scan In/Out in the NAV system and provide support to the team where necessary
- Critically monitor and analyse data/report provided by the FWO/FSO/FOA
- Work closely with SOO (Sales Operations Officer/ Electric Sales Associate) on reconciliation of monthly sales through Nexus and or busy
- Coordinate for the resolution of all nexus system errors for all electric SP's and staff
- Produce and automate a daily consignment report for country scan outs/scan ins of raw material and finished goods (ready to go to market PAYGO IDC)
- Monitor through the system all serial numbers and stoves in the hands of Agents and raise a flag where it is necessary, and coordinate for resolution along with Electric Sales Associates
- Produce regular Business unit (electric) detailed reports on the productivity performance of all Country electric SP's
- Coordinate the month-end physical stock count of stoves and raw materials, and ensure that the report is provided on time
- Prepare Stock audit in-country for the entire network of SP's (electric)
- System operations & Data Analysis
- Developing training in the Nexus Operating System for all FLO personnel involved in the electric business unit.
- Reporting to HQ the supporting team about all system failures
- Developing in-country data Analysis processes
- Produce analytical reports for the Management team on the performance of WH/ Factory operations
- Inbound Logistics:
- Assist on the coordination with KE Logistics Team and FOM on the clearing and importation of finished goods (and potentially 'CKD' kits) processes.
- Executing GRN through Navision for all Raw material and kits for the factory
- Receiving and storage of FG (IDC) from the Production team and maintaining stock report updated
- Assure seamless scan in of the containers with IDC's and raw material and keep the report up to date
- Outbound Logistics:
- Issuing out necessary IDC raw material and kits to the production team based on the daily forecast
- Coordinating with Finance and production team for necessary paperwork required for IDC's export to any of the regional countries
- Assist on seamless transfer of stock from the central warehouse to the network of regional warehouses and stockist points
- Team Management:
- Build and manage a team of warehouses, SP Assistants and support staff on company changes adjustment
- Training new staff on the technical use of Buisy/Nexus platform whenever it is solicited
- Act on the 2IC level for FOM whenever is required
- Be an organiser and go between Commercial, Finance, ACT, SOO and other support functions
- After-sales and Warranty
- Coordinating with the electric associate team about the warranty functional process
- Ensure responsive measures whenever a technical issue with the stove is delivered to the client
- Coordinating and overseeing the electric swap whenever required and keeping records
- Assisting CX with SN confirmation whenever it is required
Skills and Experience
- 2+ years of B2B and B2C sales and operations experience
- +- 2 years working with the ERP/NAV system
- +- 3-year experience working with advanced Excel functions
- +-2 years of supply chain management experience (demand, supply, and inventory planning), preferably in an environment of finished goods, parts, raw material and kits would be a plus
- Understanding the FIFO/LILO Standard
- +- 2 years coordinating cargo transport
- 1+ years' experience building, Leading and Managing functional teams
- Excellent written and verbal communication skills
- Strong analytic/number-crunching background, supported by excellent graphical presentation skills
- Strong leadership skills.
- Working relationships with a range of internal and external stakeholders in-country
- Experience managing a team of direct sales agents
- Bachelor's degree in business management or any other related field
- Experience working on carbon offsetting projects, preferably with a focus on renewable energy products.
