Position Summary

The Permit Support Coordinator is responsible for assembling all documents required for permitting, submitting, and obtaining all permits for the designing of PV and PV+Storage systems. They will interface with in-house designers and city officials, working with them to prepare and review all paperwork and drawings necessary to receive building permits and resolve objections related to Building, Zoning and Planning Departments as needed. It is the responsibility of the Permit Coordinator to keep the installation ready flow consistent.

Essential Job Duties and Responsibilities

  • Work in daily/weekly queues and or objectives in any of the following categories or other work as deemed necessary
  • Update all AHJ databases with clear accurate information – in the permit and inspection sections in the correct fields
  • Portal links, logins, passwords
  • Submission process notes
  • Inspection details/requirements
  • Support capacity for new AHJ research and assigning AHJS
  • When new AHJS are added take ownership of AHJ research for permit and inspection process
  • Submit database tickets for design sections
  • Support capacity for obtain permit follow up coverage
  • Calling AHJS
  • Checking online portals
  • Making payments
  • Creating Change Tickets for AHJ corrections
  • Support capacity for needed signatures or action from homeowners
  • Resending DocuSign's
  • Calling, texting homeowners about needed signature or other action needed
  • Support capacity for homeowner updates on project delays
  • Long permitting timelines
  • Inspection delays
  • Manage the Permit Refund Pipeline
  • Obtain permit refunds
  • Request permit refunds
  • Follow up on permit refunds
  • Call cities and counties for application process(es), costs, status updates, & to confirm project jurisdiction
  • Fill out permit applications/ print if needed. Print plans per AHJ and SOW requirements. Submit plans electronically
  • Upload approved plans and job cards to our CRM/ERP
  • Upload corrections and notify the design team in our CRM/ERP
  • Use and understand various BI reports to make educated decisions and reprioritize to address growing queues
  • Escalate system and process issues to the Permit Support Supervisor.
  • Manage expense reports and meet the weekly deadline for expenses to be submitted. Failure to do so can result in disciplinary action, up to and including termination
  • Perform other duties as assigned

Qualification Requirements

Education & Certifications

  • High School Graduate or GED

Experience

  • Strong attention to detail while producing accurate and high-quality work
  • Experience interfacing with municipality electrical and building departments
  • Intermediate Computer Skills Needed. Experience with DocuSign, Adobe .pdf, Outlook, Excel, and Word preferred

Knowledge, Skills & Abilities

  • Previous office or clerical experience preferred
  • Must be self-motivated as well as thrive in a team environment
  • Ability to manage workflow while multitasking
  • Excellent customer service skills required
  • Excellent written and verbal communication skills required
  • Regular, reliable, and predictable attendance required
  • Ability to work well with others in a collaborative team environment

Physical Demands and Abilities

  • Regularly spend long hours sitting and using office equipment and computers
  • Regularly move from sitting to standing positions effortlessly
  • Regularly spend long hours in intense concentration reviewing and entering information into a computer
  • Regularly use hands and fingers to handle, control or feel objects
  • Regularly see details of objects that are less than a few feet away
  • Regularly speak clearly so listeners can understand
  • Regularly understand the speech of another person
  • Frequently work on projects that require deadlines
  • Frequently bend to file and maintain files
  • Occasionally lift 5-10 pounds

Travel Requirements

(Employee is required to travel for business purposes, not including commute to and from work.) If required to travel, must have a valid Driver's License/Insurance and the ability to drive a personal vehicle to different sites.
