Job Description
QE Solar is one of the nation's largest independent solar and BESS operations and maintenance providers, with over 15 years of operating experience. We manage 10 GW of solar and 7.5 GWh of BESS across 44 states, supporting asset owners with multi-hundred MW utility solar projects and large standalone BESS systems. We're pure-play O&M. That focus means our entire organization is built around one thing: keeping solar and storage assets running well. Our technicians carry broad OEM certifications, and our in-house capabilities span MV/HV electrical, vegetation management, engineering, and capital improvements, to streamline asset management for project owners.
We are looking for a proactive Office Manager to take full ownership of our day-to-day office experience and administrative operations. You keep the workplace running smoothly, ensure the office is always welcoming and "guest-ready," and proactively handle the details that allow the broader team to stay focused.
Your Mission
- The Office Anchor: Ensure the office is always guest-ready, well-stocked, and running smoothly.
- The Admin Hub: Own incoming/outgoing mail and packages, office communications, and day-to-day administrative support.
- The Facilities Partner: Coordinate vendors and basic office upkeep so small issues never become big disruptions.
Key Responsibilities
Office Management & Administrative Support
- Maintain a tidy, welcoming reception and common area.
- Monitor and restock office, kitchen, and restroom supplies proactively.
- Coordinate with vendors (cleaning crews, repair techs, and any service provider).
- Handle incoming mail, packages, and basic administrative tasks.
- Support basic office onboarding logistics (badges/access requests, workspace readiness) and coordinate internal office announcements as needed.
- Maintain simple office trackers (vendor contacts, recurring service schedules, supply par levels) and help route invoices/receipts to the right owner.
- Coordinate the office calendar
Event Planning & Executive Support
- Coordinate internal meetings, team gatherings, and office events, including scheduling, vendor coordination, catering, room setup, and day-of support.
- Provide executive support as needed, such as calendar coordination, meeting logistics, travel arrangements, expense tracking, and preparation of basic materials or agendas.
- Anticipate priorities and help ensure leaders and guests have a seamless, professional experience during office visits and events.

- Tech-Savvy: Comfortable with Microsoft Office (Excel/Outlook/Teams) and able to learn new admin or facilities request tools quickly.

This position is performed in an in-office environment at our designated Arizona location and requires:
- Prolonged periods of sitting and working at a computer workstation
- Frequent use of hands and fingers to operate a computer, keyboard, and standard office equipment
- Ability to view multiple monitors and analyze data for extended periods
- Effective verbal and written communication skills, including participation in meetings and technical discussions
- Occasionally standing, walking, and moving throughout the office or facility
- Ability to lift and carry up to 15 pounds, as needed
