Your future tasks

• Serve as the primary office contact, delivering a professional and welcoming experience for visitors, employees, contractors, and service providers.
• Manage reception, onboarding, and workplace readiness, including office access, safety inductions, communications, and facility coordination.
• Oversee daily office operations and logistics, ensuring office supplies, inventory, shared spaces, cleaning, repairs, and overall office readiness are maintained.
• Coordinate meetings, events, travel, and project-related activities, including catering, workshops, team events, accommodation bookings, and project merchandise.
• Support IT and HSE office administration, including equipment management, PPE coordination, office safety responsibilities, and issue resolution.
• Provide administrative and operational support for document control, SAP/cost management processes, purchase orders, project vehicle coordination, and cross-office collaboration to maintain consistent service standards.

Your profile

• Completed commercial apprenticeship or equivalent qualification, with experience in office administration, front office, hospitality, or team support roles.
• Strong organizational skills with the ability to manage multiple priorities, coordinate office operations, and maintain a high level of accuracy.
• Fluent in German and English, with excellent communication and interpersonal skills and a professional, service-oriented approach.
• Proficient in Microsoft Office applications, including Outlook, Word, Excel, and Teams.
• Experience supporting onboarding, travel coordination, procurement administration, office access management, IT equipment coordination, or similar operational activities is advantageous.
• Self-motivated team player who can work independently while collaborating effectively in an international and multicultural environment.
