Job Description

BURN is looking for an Office Manager in DRC who will be responsible for the smooth day-to-day running of BURN's DRC office. This role is primarily operational and administrative in nature, ensuring that office operations, people processes, and basic financial administration run efficiently and in line with BURN policies. The role will also serve as a key coordination point between the DRC office and regional support teams in HR, Finance, and Operations.

Duties and Responsibilities

  • Oversee daily office operations, ensuring a well-organised, compliant, and efficient working environment.
  • Manage office supplies, utilities, service providers, and vendors.
  • Coordinate office logistics, travel arrangements, meetings, and events.
  • Maintain proper filing systems for contracts, correspondence, and statutory documents.
  • Act as the first point of contact for staff on basic HR and administrative matters.
  • Support onboarding and offboarding processes, including documentation and inductions.
  • Maintain accurate employee records and personnel files.
  • Coordinate leave tracking, attendance records, and basic HR reporting.
  • Liaise with the regional HR team to ensure compliance with company policies and local labour requirements.
  • Support basic financial administration, including petty cash management and expense tracking.
  • Assist with invoice processing, payment follow-ups, and documentation for approvals.
  • Monitor office-related budgets and flag variances to management.
  • Coordinate with the regional finance team to ensure timely and accurate reporting.
  • Support compliance with local statutory and regulatory requirements.
  • Coordinate with external partners such as auditors, consultants, and government offices when required.
  • Serve as a liaison between the DRC office and regional support functions.

Skills and Experience

  • Bachelor's degree in Business Administration, Management, Human Resources, Finance, or a related field.
  • 5 years' experience in office management, administration, or operations roles.
  • Strong organisational and multitasking skills in a fast-paced environment.
  • Basic understanding of HR and finance administration.
  • Strong communication and interpersonal skills.
  • Proficiency in Microsoft Office (Word, Excel, Outlook).
  • High level of integrity, discretion, and attention to detail.
