Invinity is deploying large-scale projects in the UK and internationally. We are looking for a Maintenance Planner based in Bathgate who will develop programs and plans to perform corrective and preventive maintenance, whether performed by team members, customers or contractors, to ensure continued performance and availability of deployed systems.

Reporting to the Director, Customer Operations and working closely alongside all members of the Customer Operations team, you will scope and schedule the on-site work by incorporating maintenance plans, customer feedback, issues reports, and system operational data, and will ensure appropriate logistic elements are in place to support the planned work. You are someone who understands field maintenance and what it takes to deliver this effectively. Safety and effectiveness are top of mind. You always act with integrity and engage positively with customers, colleagues and contractors. You will own the maintenance planning for systems deployed around the world and will contribute to the operational goal of increasing availability and customer satisfaction, and lowering maintenance costs.

Job Description

  • Prepare maintenance plans and schedules that integrate customer and Invinity maintenance and operations goals
  • Coordinate plans and schedules with project managers, other departments, and customers to reduce costs, downtime and inconvenience to customers
  • Raise work orders and ensure appropriate resources (materials, tools, trained personnel, logistic support, etc.) are available to perform the work safely and efficiently.
  • Liaise with the Logistics and Supply Chain teams to coordinate shipping, customs, and site delivery requirements, and liaise with customers on site activities, deliveries, work scope and timing.
  • Develop site and service reports following site visits, and monthly site performance and status reports to meet customer reporting requirements.
  • Manage the global spares pool and optimise sparing levels as appropriate, working closely with the logistics and supply chain teams to ensure timely availability of parts worldwide.
  • Manage the RMA process and the disposition, repair, or replacement of returned materials
  • Manage company tools and equipment, including calibration and new tool development or introduction of new tools where required
  • Monitor asset performance, maintenance history, and failure trends using the maintenance management system (MMS) to inform preventative and predictive maintenance strategies
  • Investigate issues in the MMS and ensure issues raised are managed through to completion, including coordination of corrective actions and follow-up activities
  • Ensure maintenance records, work orders, and asset data are accurate, complete, and maintained within the MMS
  • Support root cause analysis and continuous improvement initiatives aimed at improving system availability, reliability, and maintenance efficiency
  • Create and maintain maintenance procedures, and develop budgets and quotes for maintenance activities (parts, materials, travel, contractors etc.)
  • Ensure maintenance activities are planned and executed in accordance with company health, safety and quality requirements, including relevant Risk Assessments and Method Statements (RAMS) and local regulatory obligations
  • Assist and support Customer Operations Management, contributing to operational planning, reporting, and continuous improvement initiatives.

Qualifications

Essential experience, skills, and qualifications

  • Experienced in maintenance planning for electrical or mechanical equipment
  • Ability to work independently and proactively, with minimal supervision, while managing multiple priorities across a global asset base
  • Formal training in electrical or mechanical systems, or minimum of two years of relevant experience, ideally in a field service or asset-based maintenance environment
  • Ability to produce thorough and accurate service reports and other supporting documentation and procedures
  • Experience using maintenance planning tools or computerised maintenance management systems (CMMS/MMS)
  • Project Management or task coordination skills, with the ability to plan, schedule, and track work effectively
  • Proficiency in MS Office Suite (e.g. Excel, Word, Outlook) and general computer literacy
  • Excellent communication skills; polite and tactful personality when engaging with customers, colleagues, and contractors
  • Sharp, quick, detail-oriented, dedicated and innovative problem solver, with the ability to remain calm and pragmatic
