Job Description

The Scientific Data Division fosters breakthrough discoveries through the application and development of novel data science methods, technologies, and infrastructures in partnership with science domain experts. We perform focused research and development in the areas of data driven modeling and analytics, scalable methods, data lifecycle and infrastructure, digital integrity, security, and privacy for scientific computing, and sustainable software engineering with deep science partnerships.

In this exciting role, you will be responsible for the overall operational management of a portfolio of projects of moderate scope and size by providing independent coordination and oversight of moderately complex tasks supporting the projects. This position is responsible for establishing guidelines and procedures to ensure completion of multiple project deliverables, while coordinating analysis on projects with a sensitive, confidential, and/or time critical nature. Using project management principles, this position will provide comprehensive, independent, analytical support, identify critical paths, compile action items, track project budgets and create and maintain moderately complex schedules. You will be responsible for the completion of various activities of the projects, and data harvesting projects which may include, but are not limited to, timely content updates of communications materials, coordinating and scheduling meetings with internal and external stakeholders, compiling management reports, coordinating and managing proposal development and renewals, helping to onboard new employees, planning program events such as workshops, PI Meetings, stakeholder reviews, and meetings; they will work with other Program administrative staff to coordinate activities.

What You Will Do

  • Responsible for day-to-day operations of a portfolio of projects of moderate scope and size.
  • Serve as a point of contact and as appropriate manage outside inquiries and requests regarding information of a moderately complex nature for projects.
  • Partner with project leads to understand their business needs and provide them with systematic and timely analyses and recommendations pertaining to operations activities.
  • Utilize institutional systems to assist with budget tracking and providing PIs with routine budget analysis and occasional ad hoc reports, particularly for cross-divisional projects.
  • Create concise and logical scientific technical project progress reports as required. Report generation may require a synthesis of data from a variety of sources into a concise summary or conclusion for use by the PIs and/or submission to federal agencies.
  • Provide scheduling, budgeting, tracking, and coordination of one or several projects of moderate scope and size.
  • Track project deliverables and timely submission for projects involving department personnel.
  • Manage project portfolio subcontract and purchasing needs including spending against allocated subcontract funds.
  • Initiate and take the lead on certain activities as appropriate. Anticipate and resolve logistical issues that may arise given extremely busy schedules and rapidly changing priorities.
  • Exercise judgment to determine best course of action and provide recommendations for projects.
  • Identify process improvements by analyzing program operations analyst functions and suggest improvements to the project lead as appropriate.

What is Required

  • Bachelor’s degree and a minimum of 2-5 years of experience in program administration and planning or equivalent experience.
  • Experience with budget management including setting up budgets, retrieving costs, and creating cost reports for multiple projects of moderate scope and size.
  • Experience in all aspects of project/initiative planning, scheduling, budgeting, tracking, execution, and managing multiple projects with short deadlines.
  • Experience organizing project meetings and events.
  • Experience working with procurements and coordinating subcontracts.
  • Experience with project management for scientific and/or academic projects.
  • Experience with working with and reporting to funding agencies.
  • Ability to conduct analysis and work under limited supervision.
  • Strong interpersonal skills for working in a diverse team environment.
  • Excellent written and verbal communication skills with the ability to interact with a variety of scientific, administrative and technical staff.
  • Demonstrated ability to work independently, think critically, apply analytical skills, problem solve, and exercise sound judgment in support of the larger team and organization.
  • Demonstrated ability to plan and think strategically about program implementation, manage projects and budgets, set feasible goals and objectives, and effectively balance multiple priorities.
  • Proficiency with Microsoft Word, PowerPoint, Excel, Google Suite, Adobe Suite, and WordPress.
  • Some experience with virtual meeting platforms.

Notes

  • This is a part-time, 2 year, 20 hour/week, term appointment with the possibility of extension or conversion to Career appointment based upon satisfactory job performance, continuing availability of funds and ongoing operational needs.
  • Salary range
  • The full salary range for the part-time, 20hour/week of this position is between $45,342 to $76,518 per year and is expected to pay between a targeted range of $51,012 to $62,346 per year depending upon candidates' full skills, knowledge, and abilities, including education, certifications, and years of experience.
  • Part-time, day and hours are flexible, non-exempt (hourly paid) from overtime.
  • This position is subject to a background check. Any convictions will be evaluated to determine if they directly relate to the responsibilities and requirements of the position. Having a conviction history will not automatically disqualify an applicant from being considered for employment.

  • Work may be performed on-site, hybrid, full-time telework. The primary location for this role is Lawrence Berkeley National Lab, 1 Cyclotron Road, Berkeley, CA. Work must be performed within the United States.
