We are seeking a detail-oriented Senior Associate, Finance & Administration professional with strong financial expertise and the ability to manage multiple responsibilities in a dynamic environment, to join our team. You will be responsible for overseeing financial management and reporting for our Malaysia entities, managing project costs, ensuring financial accuracy and compliance with tax regulations.
You will work closely with diverse stakeholders to ensure adherence to project budget guidelines, conduct financial analysis, and provide strategic support for decision-making. Additionally, you will render administrative and HR support to ensure the smooth operation of the Malaysia office.
Key Responsibilities
Financial Close, Operations and Compliance
- Oversee multiple entities' monthly financial close process, ensuring timely completion.
- Maintain a complete set of accounts and manage external auditors during financial audits.
- Ensure timely processing of invoices, claims and fund flow requests
Financial Reporting and Analysis
- Conduct in-depth cost analysis, forecasting, and budget preparation to ensure the financial health of each project.
- Produce accurate and timely financial reports for leadership teams.
Tax Compliance
- Identify and apply tax incentives to optimize tax efficiency.
- Coordinate with tax advisors/consultants to ensure compliance with Malaysian tax laws.
Project Cost Management
- Establish and maintain efficient project budget tracking systems, ensuring accuracy and adherence to company guidelines and standards.
- Monitor project expenditures and ensure alignment with approved budgets.
- Oversee financial planning for projects, including the monitoring of project expenditures and ensuring alignment with approved budgets.
- Communicate financial updates to stakeholders on a regular basis, highlighting risks or variances.
Stakeholder Management
- Collaborate with cross-functional teams, including project managers, Treasury, and external vendors to ensure effective financial management.
- Support other finance-related duties as necessary.
Administrative Support
- Provide general administrative support for the Malaysia office, including data management and office-related tasks.
- Assist with HR functions, including onboarding, offboarding, work pass applications, and payroll preparation.
- Support office setup and maintenance as required.
Education
- Bachelor’s degree in finance or accounting or a related field.
Experience
- Minimum of 6 years of experience in project cost management, financial reporting, or a similar role.
- Proven experience with auditing and managing financial statements, Big 4 accounting firm experience is preferred.
Skills
- Strong knowledge of project financial management, cost analysis, forecasting, and budgeting.
- Proficiency in financial management software (e.g., ERP systems, Excel, etc.).
- Familiarity with Malaysian tax regulations and incentives
- Strong organisational, time management, analytical and problem-solving skills,
- Excellent communication and stakeholder collaboration abilities
