As Executive Assistant, you will report directly to the CFO to provide high-level administrative support, ensuring efficient operation of the finance office. This role involves managing schedules, coordinating meetings, handling confidential information, preparing reports, and serving as a liaison between the CFO and internal/external stakeholders.

This role will be based in our Toronto Head Office. Additionally, this role will be 4 days in office per week, with one flexible day available for employees to work from home.

Key Responsibilities

  • Manage and prioritize the CFO’s calendar, appointments, and travel arrangements.
  • Prepare and edit correspondence, reports, presentations, and other documents.
  • Coordinate meetings, including agenda preparation, logistics, and minutes.
  • Handle confidential financial and business information with discretion.
  • Support strategic initiatives and special projects as directed by the CFO.
  • Liaise with senior executives, board members, and external partners.
  • Provide ad hoc reception relief.
  • Work closely with the Corporate Services team to ensure process efficiencies and communication are shared.
  • Assisting with planning and organizing internal events (e.g., town halls, coffee hours, company celebrations).
  • Setting up event spaces, coordinating seating, equipment, and decorations as needed.
  • Providing logistical support during events, including managing RSVPs and coordinating with IT on setting up audiovisual equipment (corporate events only).

Qualifications

  • Proven experience as an executive assistant or in a similar administrative role.
  • Strong organizational, communication, and interpersonal skills.
  • High level of discretion and professionalism.
  • Proficiency in Microsoft Office Suite and calendar management tools.
  • Bachelor’s degree or equivalent experience preferred.
