On-site Project Coordinator

BEI Construction is seeking an On-site Project Coordinator for our solar division. This position will be on-site and support the project team of a large project site located in Mojave, CA. The expected duration of this position and project is 8 months.

Responsibilities & Duties

Record Keeping:

• Maintaining PM software & corporate digital Files
• Maintaining consistency across platforms (Procore, Job File, Fieldwire, Fleetio)
• Creating and distributing meeting minutes and action items
• Maintaining vendor compliance
• PO creation and distribution
• Subcontract creation and execution

Office Management:

• Office supply ordering
• Printing
• Shipping and receiving from PO box

Project Coordination:

• Weekly project update for Sr. PM
• Attending client driven training
• Assisting in onboarding new hires including trainings
• Special research projects
• Develop and maintain high-level schedules and assist with project meetings
• Organizing, attending, and participating in client and customer meeting
• Permitting as needed
• Biweekly meetings with other on-site Project Coordinators working on similar projects
  • Report on administrative complications and lessons learned
  • Report on new processes or process modifications that are working well
  • Coordinate evolving processes to maintain consistency across projects
• Work closely with accounting, IT, administrative staff, and safety department to ensure project needs are met and project information is triaged appropriately.

Qualifications

• Construction industry experience preferred, but not required
• Ability to drive for occasional project errands; valid driver license required
• Proficient in Microsoft Office
• Detail-oriented
