Role Description
This is an opportunity to have a direct and daily impact in an exciting energy technology startup. The Facilities Workplace Coordinator role is at the forefront of delivering a positive office experience as a cultural ambassador, community advocate and service leader.
In this role, you will collaborate with people of all styles, skill sets, and backgrounds to realize our vision while fostering a community where everyone feels included and empowered to do the best work of their lives. You will partner with the employees and facilities teams, manage the day-to-day office operations. assist with space utilization and administer our Office Management System, Envoy for the workplace.
The ideal candidate will bring a “can-do” attitude, and strong independent problem solving skills. Hands-on experience within software programs, manufacturing or lab operations, or a start-up is a plus.
This opportunity is based out of Form Factory 1 in Weirton, WV.
What you'll do
- Ensure an outstanding and enjoyable experience in the workplace by providing exceptional customer service on general workplace issues and needs.
- Support Facilities & Office Services related activities within the Factory.
- Monitor and manage incoming seating requests, visitor activities, and meetings.
- Ensure pre-task planning, coordination and communication with all Stakeholders.
- Assist with development of look ahead schedules and effectively communicate the schedule with cross functional Teams.
- Generate reports on KPI’s, SLA metrics, and work order data to identify trends.
- Manage administrative operations to include; communicating with the facilities team and vendors, assisting with visitor coordination, food delivery programs, receiving and organizing mail, and assist with events planning and coordination
- Administer workplace systems and software programs to manage hybrid desk assignments, office seating and layouts, access badges and security, and overall space utilization
- Liaise with People Operations Assist with onboarding of new hires (knowledge of Robin, Envoy, Brivo, etc. a plus)
- Coordinate parking contracts, payments, parking assignments, visitor/special needs, issue parking tags, Lyft Pass program, and deal with any Landlord issues
- Inventory Management - Manage vendor contracts at all R&D sites for office, kitchen and mailroom supplies to monitor, order and maintain inventory
What you'll bring
- Experience working in a corporate environment with a focus in facilities, office management, or customer service
- Ability to work in a fast-paced environment with demonstrated problem-solving skills
- Positive attitude and eagerness to learn and help
- Ability to multitask with strong attention to detail
- Strong written and verbal communication skills
- Ability to lift 25 lbs
- CPR/AED certification a plus
