Job Description

WindEurope is the voice of the wind industry, actively promoting wind energy across Europe. We have over 600 members from across the whole value chain of wind energy.

We are looking for an Office Manager to strengthen our Office Management Team made up of 2 people.

You will be responsible for the efficient and effective operation of the office, providing administrative support, managing supplies, vendor relations and overseeing day-to-day activities to ensure a productive and organized environment for all staff compliant with office policies. You will report to the Director of HR & Legal.

Main duties and responsibilities

  • Administrative & Operational Oversight: manage and contribute to the daily office flow of mail, packages, the reception inbox, scheduling and record-keeping. Liaison to the building manager (Cofinimmo) and manage office security (alarm, badge system, etc.)
  • Financial Management: handle budgets, process invoices, track and manage expenses, and handle vendor accounts & relationships.
  • Facility & Resource Management: manage and order supplies, manage office layout and facilities, coordinate maintenance/repairs, and provide excellent support at the reception in collaboration with team members.
  • Event Management: facilitate internal/external communication, manage and facilitate internal meetings and/or events, and handle catering requirements.
  • Policy & Compliance: implement office policies, office projects, and compliance.
  • Team management: manage, collaborate, and mentor 1 colleague and foster a culture of innovation, collaboration, and accountability.

  • Excellent organisational, time-management and multitasking skills.
  • Excellent communication skills, both written and when presenting.
  • Good analytical and reporting skills.

Experience

  • Previous professional experience as an Office Manager is a must.

Software

  • Proficiency in Microsoft Office (Outlook, PowerPoint, Excel, Word).

Languages

  • Very good level of English (written and spoken).
  • French/Dutch is an asset to deal with Belgian suppliers.
