Job Description

Trinity Solar is seeing an experienced Administrative Assistant to join our team. The Administrative Assistant will be responsible for providing administrative support to the business and performing ad hoc duties as necessary. Hours are 7:30am-3:30pm

Roles & Responsibilities

  • Coordinate and confirm installation, service, and site visit appointments with homeowners, ensuring alignment between internal teams, field crews, and project timelines. Maintain accurate digital calendars to support efficient scheduling and resource allocation.
  • Maintain and update customer records within company CRM and project management systems, ensuring all project milestones, documentation, and communications are accurately tracked from contract through completion.
  • Collaborate closely with subcontracting partners, including installation crews, electricians, roofing teams, and inspection partners, to coordinate schedules, resolve issues, and ensure projects progress on time and according to company standards.
  • Prepare and organize job packets according to installation schedules, including permits, plans, scope of work, and customer documentation, ensuring field teams have all required materials prior to deployment.
  • Manage day-to-day communications across multiple channels, including email, phone, and internal case systems, providing timely updates to customers, subcontractors, and internal stakeholders regarding project status, next steps, and issue resolution.

Qualifications & Experience

  • Proficient computer skills, including Microsoft Office, Adobe PDF
  • SalesForce.com experience is preferred
  • Previous work with subcontracting teams preferred, but not necessary
  • Strong verbal and written communication skills
  • Comfortable with routinely shifting demands
  • High degree of attention to detail
  • Data entry experience
  • Time Management skills
