We are seeking a highly motivated and resourceful Executive Assistant to support Fluence's Chief Operating Officer (COO). This is a dynamic, fast-paced role at the center of our growth strategy, providing direct administrative and strategic support to a senior leader driving business development, partnerships, and global expansion.

The Executive Assistant will act as a trusted partner, ensuring the COO's priorities are executed seamlessly through expert calendar management, meeting coordination, travel and expense support, and preparation of materials for both internal and external engagements. This role requires a high level of professionalism, discretion, and initiative, along with the ability to anticipate needs and manage competing priorities with precision.

Key Responsibilities

  • Executive Support: Manage complex scheduling and calendars, coordinate domestic and international travel, and oversee expense management for the Chief Operations Officer.
  • Stakeholder Engagement: Serve as the primary point of contact and liaison between the COO and internal/external stakeholders, ensuring communications are handled with professionalism and discretion.
  • Meeting & Event Management: Organize and prepare materials for high-level meetings, board discussions, and business development activities; capture key outcomes and drive follow-up on action items.
  • Project & Initiative Support: Provide organizational support for strategic initiatives and special projects, ensuring timely progress against priorities.

  • Excellent written and verbal communication skills with strong relationship-building abilities.
  • Proven ability to deliver results under pressure, take ownership, and solve problems with creativity and efficiency.
  • Professional maturity, discretion, and a track record of handling confidential information responsibly.
