Job Description

Are you passionate about supporting renewable energy initiatives and providing proactive administrative and office support? Join us as Senior team Assistant, where you will provide proactive support to the Digital Engineering Leadership Team.You will also play a central role in ensuring the smooth running of our entire Digital Engineering department.

Digital Engineering is a unit in Project Delivery & Engineering, that deliver the digital infrastructure, digital solutions, and secure data to enable renewable energy production and reliable operations. As the primary provider of digital solutions within the Business Unit (BU) Offshore Wind, part of Business Area (BA) Wind, we oversee the entire value chain, from bid acquisition to asset construction and operation. Our focus lies on Operational Technology (OT) and IT, harnessing control and analytic modelling synergies to optimize engineering design through comprehensive data integration. Within this team, we are offering an exciting opportunity as Senior Team Assistant to be an important part in paving the way for Vattenfall and our journey towards fossil freedom!

Your role

We are looking for an experienced and proactive Senior Team Assistent to join our Digital Engineering department at Vattenfall. In this role, you will provide proactive administrative support the Digital Engineering Leadership Team. You will also play a key role in ensuring that our Digital Engineering teams across runs smoothly and effectively.

Your responsibilities will range from coordinating meetings and events, managing on/offboarding activities, managing SharePoint sites and communication channels, prepare presentations, managing purchase orders and invoices, as well as engaging with key internal and external stakeholders.

Key deliverables and activities

  • Organizing meetings and events including all logistics.
  • Recording minutes and actions and ensuring proactive follow up.
  • Managing organization charts, distribution groups, department presentations and office handbooks.
  • Managing Sharepoint sites and intranet pages.
  • Managing on/offboarding processes and activities.
  • Managing purchase order requests, invoice coding and approval processes.
  • Actively participate in internal networks to ensure updated knowledge and aligned ways of working across departments and offices.
  • Engage with key internal and external stakeholders in other locations.

Your profile

You are independent, have a high degree of self-motivation and can adapt quickly to new and challenging situations. You can plan and prioritize your work to meet commitments that align with organizational goals. You possess excellent interpersonal skills and can build partnerships to work effectively and support others in meeting shared objectives. You anticipate and balance the needs of multiple stakeholders. You are an excellent communicator who can listen, bring a message across clearly, retrieve the information needed and adapt to their audience.

As our new Senior Team Assistent you should have a passion for sustainability and structured way of working. You are service-minded and a team player with a positive, open and honest mind-set, who actively engages people by asking, sharing, helping or asking for help.

  • You have a minimum of 5-6 years working experience in a similar role
  • Self-starter, demonstrating strong organizational, management, and coordination skills.
  • All-round communicator with excellent oral, written, and interpersonal communication abilities.
  • Ability to prioritize your workload, organize your time, and manage tasks efficiently in a fast-paced environment.
  • Proficient in procurement and finance software applications, preferably SAP.
  • Proactive, learn quickly and adapt easily to new circumstances.
  • Ability to handle confidential and sensitive information in an appropriate manner.
  • Proficient with O365 (Outlook, Word, Excel, PowerPoint, SharePoint, Teams and etc.)
  • You are fluent in both English and Danish spoken and written.
  • Experience working in multinational teams and organizations.
