Job Description

The Executive Assistant provides high-impact operational support to Longroad Energy's Executive Team, serving as a trusted partner at the center of executive leadership. The person stepping into this position will exercise sound judgment, operate with autonomy, and bring genuine agility to supporting multiple executives who may have different working styles and preferences - adapting their approach to serve each principal in the way that works best for them.

Reporting primarily to the Chief Development Officer, this role will protect executive time for highest-value activities, and represent Longroad's executives with professionalism and candor. This role will partner with our other Executive Assistant to maintain consistency in partnership approach and operating standards. Role is based in SF and will require in office 2-3 days a week.

Responsibilities

  • Executive Time & Calendar Management - Own and actively manage calendars for the Chief Development Officer and other executives, making scheduling decisions with a high degree of autonomy based on each executive's established priorities. Proactively protect time for high-value activities and flag conflicts for resolution. Recognize that each principal may have distinct working preferences and adapt accordingly.
  • Email & Communications Management - Manage inboxes, triaging and filtering noise, flagging urgent matters, archiving, and drafting responses on non-risk-related matters. Represent the CDO in external and internal communications with a high level of professionalism and candor. Route external company inquiries to the appropriate parties, handling all sensitive communications with discretion.
  • Executive Calendar Ownership - Own the executives calendar as it relates to department meetings and events, ensuring consistency in business rhythms and advance planning. Support the scheduling and preparation of staff meetings; agenda-setting and follow-up ownership rests with ELT members, though this role may provide supporting coordination as requested.
  • Management Operating System Support - Serve as a key partner in maintaining the cadence and consistency of Longroad's management operating systems as it pertains to your areas of support. Ensure recurring meetings and operating rhythms stay on the calendar with the right attendees, appropriate advance notice, and reliable execution. From time to time, identify and recommend process efficiencies where executives are involved, contributing a ground-level perspective on how operating rhythms can be strengthened.
  • Stakeholder & Event Management - Execute full logistics for meetings as assigned, including scheduling, travel arrangements, meals, materials coordination, and on-site support. Assist in maintaining a structured approach to key internal and external stakeholder relationships, including consistent outreach cadence and relationship tracking. Support scheduling and preparation for high-priority executive engagements.
  • Travel & Expense Support - Manage complex travel arrangements as needed, including itineraries, accommodations, and ground transportation. Handle expense reporting and reconciliation.
  • Internal Communications & Events - Support the planning and execution of All Hands meetings, including slide development and logistics coordination. Manage corporate events such as holiday parties, team gatherings, and executive offsites. Aggregate and synthesize relevant external insights and industry information for executives based on business priorities.
  • Office & Facilities - Manage day-to-day office needs including supply ordering and facilities basics. Serve as a professional and welcoming point of contact for visitors to the San Francisco office. Serve as the onsite point of contact for Safety protocols.
  • Personal Assistance - Provide occasional personal assistance to executives as needed, helping to minimize distractions from business priorities and maximize time for highest-value activities.

Minimum Qualifications

  • 4+ years of experience supporting C-suite or senior executive principals, with demonstrated ability to manage competing demands across multiple stakeholders.
  • Experience supporting executive engagement, including meeting logistics, materials coordination, and on-site execution.
  • Experience with executive stakeholder mapping and relationship management, including maintaining outreach cadence and tracking key contacts on behalf of senior leaders.
  • Experience with investor or external partner communications and relationship coordination.
  • Experience coordinating corporate events and executive-level meetings, including logistics planning, vendor management, and on-site execution.
  • Exceptional organizational skills with the ability to prioritize effectively and maintain accuracy under pressure.
  • High proficiency with productivity tools and technology; genuine enthusiasm for leveraging AI tools to work smarter and more efficiently.
  • Strong written and verbal communication skills - polished, concise, and appropriately calibrated for a variety of audiences including senior executives and Board members.
  • Sound judgment and the confidence to push back, advocate for executive time, and make autonomous decisions within agreed parameters.
  • Demonstrated ability to handle sensitive and confidential information with discretion, including organizational decisions, personnel matters, and executive communications.
  • Comfort operating in a fast-moving, growth-stage environment where processes are actively being built and priorities can shift.

  • Experience supporting executives in a dual-principal or shared-support model.
  • Background in or exposure to chief of staff functions or operating rhythm design.
  • Experience in a high-growth, private equity-backed, or mission-driven company environment.

Compensation

The annual salary range is between $85k-$115k and is an Hourly role. In addition to base salary, this role includes a bonus. The position offers health, vision/dental insurance, flexible spending accounts, 401(k) plan, accrued paid time off, life insurance and disability coverage.
