About The Role
We're seeking a proactive, highly organized Office/Warehouse Manager to support our Arlington Heights, Illinois office and warehouse operations. In this role, you'll oversee the day-to-day operations of our office and warehouse, ensuring an efficient, organized, and safe work environment while providing operational support to our growing regional construction team. You'll coordinate office administration, facilities, vendors, employee onboarding and engagement, while also managing inventory, material receiving and distribution, warehouse organization, and logistics to ensure project teams have the equipment and materials they need to succeed. This position plays a key role in supporting both our employees and field operations by maintaining efficient workplace processes, accurate inventory control, and seamless coordination between the office, warehouse, and project teams. The ideal candidate is resourceful, adaptable, highly organized, and passionate about creating an exceptional employee experience while driving operational excellence.
Responsibilities
Warehouse & Logistic Management
- Oversee day-to-day warehouse operations, including receiving, inspecting, storing, staging, picking, loading, tracking, and distributing construction materials, tools, equipment, and other company assets.
- Maintain accurate inventory records through cycle counts, audits, reconciliations, and inventory control procedures.
- Manage pallet and location control, ensuring materials are properly labeled, organized, and available to support project schedules and field needs.
- Coordinate outbound shipments to project sites, including delivery scheduling, shipment tracking, and confirmation of receipt, in partnership with Project Managers, Procurement, and Logistics.
- Manage material returns from the field, redeployment opportunities, and reverse logistics as needed.
- Track damaged, missing, quarantined, or nonconforming materials and support exception resolution and disposition decisions.
- Maintain an organized, clean, and safe warehouse environment in compliance with company safety policies, procedures, and warehouse best practices.
- Manage warehouse equipment, material-handling assets, and company vehicles to support efficient operations.
- Develop and improve warehouse processes, operating procedures, and controls to increase efficiency, inventory accuracy, and service to project teams.
- Partner with Procurement, Project Management, and field teams to ensure materials are available when and where they are needed.
Office Management
- Serve as the primary point of contact for employees, visitors, vendors, building management, and service providers.
- Coordinate office maintenance, repairs, security access, and workspace organization.
- Manage office supply inventory, purchasing, and office budgets.
- Coordinate shipping, receiving, and mail distribution.
- Support onboarding for new employees, including workstation setup, office orientation, badge access, and equipment coordination.
- Schedule meetings, manage conference room reservations, and coordinate office logistics.
- Plan and execute office events, team lunches, celebrations, volunteer activities, and employee engagement initiatives.
- Partner with IT, HR, and Facilities to quickly resolve workplace issues.
- Provide administrative support to regional leadership, including meeting coordination, travel arrangements, and expense reporting.
- Maintain organized office records and ensure compliance with company policies and workplace procedures.
Required Qualifications
- 3+ years of experience in office management, workplace operations, warehouse management, inventory, logistics, facilities management, executive support, or administrative roles.
- Experience supporting a fast-paced corporate, construction, or operations environment.
- Exceptional organizational, multitasking, and time management skills, with the ability to manage multiple priorities with minimal supervision.
- Excellent written and verbal communication skills, with a strong customer service mindset and outstanding interpersonal skills.
- Resourceful, proactive problem solver with a high level of attention to detail.
- Proficiency with Microsoft Office Suite (Outlook, Excel, Word, PowerPoint) and experience using inventory management or asset tracking software.
- Valid driver's license.
- Ability to lift up to 50 pounds and work comfortably in both an office and warehouse environment.
Preferred Qualifications
- Experience supporting Project Management, Construction, Engineering, or Operations teams.
- Forklift certification or the ability to obtain certification.
- Experience coordinating employee events and workplace engagement initiatives.
- Familiarity with warehouse management or workplace operations.
- Experience managing office vendors and building relationships with property management.
- Associate's or Bachelor's degree preferred but not required.
$70,000 - $90,000 a year
Salary will vary depending on your location and job-related skills and experience. This is an incentive-based position with the potential to earn more. For part-time roles, your compensation will be adjusted to reflect your hours.
