Job Description

BURN is looking for an HR and Office Manager who will support the day-to-day operations of the HR function while ensuring smooth, efficient office administration and facilities support for the DRC team.

Duties and Responsibilities

  • Manage the onboarding process for all new employees, including induction and completion of required documentation (contracts, policies, rules, and procedures).
  • Prepare and process payroll inputs for employees and casuals in coordination with Finance/Payroll.
  • Develop, localize, and maintain employee handbook content and HR policies for DRC; communicate and train employees on policy updates.
  • Collect, verify, and file all documentation required for contract preparation for new hires; maintain accurate and confidential personnel records.
  • Monitor contract expiry dates and manage the electronic employee data sheet to ensure employees do not work without valid contracts.
  • Handle HR-related issues raised by employees, escalating to management where necessary; support employee relations and disciplinary processes in line with policy and local law.
  • Support performance management by coordinating appraisal meetings and following up on action items and manager feedback.
  • Manage filing and records for casual workers in DRC and ensure compliance with documentation requirements.
  • Coordinate employee exit processes for employees and contractors, ensuring all documentation is completed, medicals (where applicable) are done, and company property is returned.
  • Coordinate periodic medical check-ups for employees and support the Health Officer on work injury matters as required.
  • Keep up to date with changes in DRC labour laws and advise management on relevant updates and required actions.
  • Oversee day-to-day office operations, including reception/front office coordination, visitor management, meeting room scheduling, and office communications.
  • Ensure BURN offices throughout the country are fit for purpose, with reliable connectivity, adequate facilities, and appropriate equipment; coordinate corrective actions with IT, Administration, and service providers to maintain agreed service levels.
  • Support office asset and equipment management (basic tracking of office furniture/equipment, allocation records, and follow-up for repairs or replacements).
  • Coordinate travel and accommodation logistics for staff and visitors where required, ensuring compliance with internal processes.
  • Process and track office-related invoices and service requests, maintaining organized records and coordinating approvals with relevant stakeholders.
  • Perform any other duties as may be assigned by your manager from time to time.

Skills and Experience

  • The People Department requires strong data management capabilities, so Excel skills and experience working with data is critical. Familiarity with AI is an additional requirement.
  • Minimum Bachelor's in HR, management, or a Higher Diploma in Human Resource Management.
  • Minimum three years of experience in an HR Department, with at least one year in management roles.
  • Knowledge of Labor law and employment best practices.
  • French and English Language (written and spoken).
