Role Overview

The Sales Operations Specialist owns the end-to-end order lifecycle, supporting our Asia Pacific Sales team with the day to day sales admin and operational task. This role serves as the operational backbone of the sales process, ensuring accurate order execution, on-time delivery, and smooth coordination across Sales, Supply Chain, Logistics, and Finance. You will play a critical role in delivering a reliable customer experience while maintaining internal efficiency and control.

What you'll do

  • Manage the full order-to-cash (O2C) process, from order entry to delivery, invoicing, and payment collection.
  • Ensure accurate and timely order entry and maintenance in CRM.
  • Coordinate closely with supply chain and logistics teams to record shipment bookings, and delivery schedules (including international freight and documentation).
  • Generate and manage purchase orders, invoices, and shipping documentation (e.g., commercial invoices, packing lists).
  • Generate regular sales reports, including performance metrics, forecast accuracy, and goal tracking for management.
  • Act as the primary liaison between Sales, Finance, Supply Chain, and Service teams to resolve order, delivery, and payment issues.
  • Maintain CRM data quality, including pipeline updates, order status, and customer records.
  • Support sales forecasting by providing accurate pipeline and order status data.

Skills Required

  1. 2+ years of experience in Sales Operations, Order Management, or Supply Chain coordination.
  2. Hands-on experience with order-to-cash (O2C) or order-to-invoice processes.
  3. Familiarity with international shipping (customs, Incoterms, export documentation) is strongly preferred.
  4. Experience with ERP/CRM systems (e.g., NetSuite, SAP, HubSpot, Salesforce).
  5. Proficiency in English and Cantonese; Mandarin is a plus.
  6. Excellent cross-functional communication skills; able to coordinate across sales, finance, and operations teams.
  7. Strong organizational skills with high attention to detail and ability to manage multiple orders simultaneously.
