Job Description

Green Energy Biofuel LLC is looking for a driven and detail-oriented Fleet Coordinator to join our growing team in Warrenville, SC. This is an exciting opportunity to play a key role in keeping our fleet operations running smoothly as we power a cleaner, greener future. Primary Responsibilities

Fleet Operations Coordination

  • Coordinate the daily utilization of company vehicles, trailers, and equipment
  • Monitor fleet availability and communicate equipment status to dispatch and operations
  • Ensure trucks are assigned appropriately based on customer requirements, driver availability, and equipment capabilities
  • Track fleet movement using GPS, telematics, and fleet management software
  • Assist with scheduling and coordinating transportation resources during periods of high demand

Driver Support & Communication

  • Serve as the primary point of contact for drivers regarding equipment issues and operational concerns
  • Coordinate roadside assistance, emergency repairs, and breakdown response
  • Communicate maintenance schedules and equipment availability
  • Assist with onboarding drivers by ensuring equipment assignments and documentation are completed
  • Promote positive communication between drivers, dispatchers, mechanics, and management

Safety & Compliance

  • Ensure fleet compliance with DOT, FMCSA, OSHA, and company safety standards
  • Coordinate annual inspections, registrations, permits, and licensing requirements
  • Monitor Driver Vehicle Inspection Reports (DVIRs) and ensure deficiencies are corrected promptly
  • Track Hours of Service compliance and support corrective actions when necessary
  • Maintain fleet files and regulatory documentation
  • Support accident investigations and maintain incident records

Fleet Performance & Reporting

  • Monitor key fleet performance indicators including:
    • Equipment utilization
    • Vehicle downtime
    • Preventive maintenance compliance
    • Repair turnaround time
    • Fuel efficiency
    • Cost per mile
    • Driver inspection compliance
    • On-time equipment availability
  • Prepare weekly and monthly fleet performance reports
  • Identify trends and recommend operational improvements
  • Assist leadership with budgeting and fleet planning

Vendor & Asset Management

  • Coordinate service providers, towing companies, tire vendors, fuel vendors, and repair facilities
  • Maintain vendor relationships and ensure quality service
  • Assist with fleet purchasing, equipment transfers, and disposal of assets
  • Strong analytical skills for route optimization, cost control, and asset ROI modeling.
  • Support inventory management of fleet supplies and maintenance materials

Continuous Improvement

  • Recommend process improvements that increase fleet efficiency and reduce operating costs
  • Support implementation of new fleet technologies, telematics, and maintenance systems
  • Participate in safety initiatives and operational improvement projects
  • Promote a culture of accountability, teamwork, and continuous improvement

Required

  • High school diploma
  • Associate degree in Logistics, Transportation, Business, or related field preferred
  • Minimum of 3 years of fleet, transportation, dispatch, maintenance coordination, or logistics experience
  • Working knowledge of DOT and FMCSA regulations
  • Strong organizational and time management skills
  • Excellent verbal and written communication skills
  • Proficient with Microsoft Office Suite
  • Experience with fleet management software, GPS systems, and telematics preferred
  • Valid driver's license with an acceptable driving record
