Job description
We are seeking a highly organized, dependable, and proactive Administrative Support Assistant to provide day-to-day administrative and operational support across the organization. This role is ideal for someone who is detail-oriented, resourceful, and comfortable managing multiple priorities in a fast-paced environment.
The Administrative Support role will work closely with leadership and various departments to help keep daily operations organized and running efficiently. The successful candidate will be a reliable go-to resource who can anticipate needs, follow through on assignments, and handle a variety of administrative responsibilities with professionalism and discretion.
Key Responsibilities
- Answer and direct incoming phone calls, emails, and general inquiries in a professional and timely manner.
- Schedule meetings, appointments, and other business activities.
- Manage calendars and coordinate schedules for the assigned leadership team
- Prepare, format, organize, and distribute documents, correspondence, reports, presentations, and other business materials.
- Maintain organized electronic and physical files and records.
- Assist with data entry, tracking, and maintaining administrative records.
- Monitor and order office supplies and other necessary materials.
- Coordinate with vendors, service providers, and internal departments as needed.
- Assist with company events, meetings, employee activities, and other special projects.
- Coordinate leaders travel arrangements, including flights, hotels, transportation, and itineraries when needed.
- Assist leadership with administrative and occasional personal support tasks.
- Provide administrative assistance to HR, Sales, Accounting, and other departments as needed.
- Assist with post-purchase customer follow-ups by explaining the next steps in the purchase process and addressing any questions.
- Assist with employee and office-related requests and ensure follow-up is completed.
- Handle miscellaneous administrative assignments and special projects that arise throughout the business.
- Take initiative in identifying administrative needs and finding practical solutions.
- Maintain confidentiality when handling sensitive company, employee, financial, or business information.
- Perform other duties and responsibilities as assigned.
Qualifications
- 2+ years of administrative, office support, or executive assistant experience preferred.
- Strong organizational, time-management, multitasking, and communication skills.
- Detail-oriented with strong accuracy and follow-through.
- Proficient in Microsoft Office, Google Workspace, Excel, PowerPoint, DocuSign, Dropbox, and similar business applications.
- Proficient Mac user and comfortable learning new software and systems.
- Professional, dependable, resourceful, and service-oriented.
- Ability to work independently, prioritize multiple tasks, meet deadlines, and collaborate across departments.
- Flexible, proactive, and willing to assist with various administrative and operational projects.
- Flexible and willing to assist with a wide variety of administrative, operational, and special projects as needed.
