Booking & Operational Support Coordinator

Key Responsibilities

  • Booking Coordination & Resource Planning Management (with Visual Planning):
    • Day to day site preparation.
    • Financial tasks : adherence to accommodation budgets, evaluation of cost saving options.
    • New projects preparation : search for potential accommodations in project region.
    • Mediation between technicians and booking-related service providers.
    • Continuous improvement : Non-Conformance Reports, new booking offerings, etc.
  • Operational Support:
    • Documentation
    • Prepare project documentation in accordance with various stakeholders.
    • Manage internal company documentation and share it with clients.
    • Handle client requests for documentation.
    • Organize document follow-up to track completion status.
    • Maintain direct communication with on-site Team Leaders on this matter.
    • Archive all project documentation (photos, reports, safety documents).
    • Training
    • General Training Organization (training budget & accounting, internal training policy, …).
    • Organize necessary trainings / e learnings for new technicians joining our company.
    • Users access management to training platform for E-Learnings.
    • When applicable, provide or organize various habilitations and/or authorizations.
    • Assess training needs, identify skills gaps and ensure training targets are met.
    • Trainings documentation management and storage.

Required Qualifications

  • Bachelor degree in Business Administration, Hospitality or Travel & Tourism Management or a related field.
  • Candidates with any equivalent, substantial, and demonstrable experience in above mentioned fields are also encouraged to apply.
  • Excellent verbal and written communication skills for effectively liaising with all stakeholders.
  • Strong organizational skills and the ability to manage multiple tasks simultaneously.
  • Detail-oriented with excellent time management abilities.
  • Proficiency in both English and French.
  • Ability to work both independently and collaboratively.
  • Proactive problem-solving abilities : capacity to adapt easily and take initiative.
  • Computer proficiency to manage data, prepare documentation and schedule tasks.

Preferred Qualifications

  • Strong client orientation.
  • Prior experience in a hospitality, operations or logistics role is a plus.
  • Familiarity with booking systems will be considered an asset.
  • A basic understanding of budget management and financial principle.
  • A first experience in training & development is advantageous.
  • A genuine interest in climate impact, environmental care, and a familiarity with the wind business would be beneficial.

Key Stakeholders/Interactions

  • Internal: technicians, planning coordinator, finance department, project managers.
  • External: accommodation and booking-related service providers, clients and training suppliers.

Performance Metrics

  • Degree of alignment and satisfaction from Operations regarding the coordination of bookings.
  • Booking accuracy rate (percentage of bookings accurately transposed into planning).
  • On-time performance : complete tasks within agreed-upon timelines.
  • Complaint resolution time.
  • Documentation accuracy.
  • Training programs completion percentage.

Location & Travel Requirements

  • Based at MD Wind headquarters (Weiswampach, Luxembourg).
  • Little or no travel requirements (1 to 2 times per year, 1 to 3 days each time).
