The Role

The Office Manager will play a key role in ensuring the smooth day-to-day running of the office in Italy. This part-time, temporary position is offered as a maternity leave cover.

The role is responsible for creating an efficient, well-organized, and welcoming workplace environment, acting as the main point of contact for office-related matters.

It requires strong organizational skills, adaptability, and a proactive mindset to anticipate needs and resolve issues quickly. The Office Manager will support employees, coordinate with vendors, and ensure that office operations run seamlessly, contributing to a positive employee experience and overall business efficiency.

Key activities and responsibilities

  • Manage day-to-day office operations in a part-time capacity
  • Welcome visitors and ensure a professional and friendly office environment
  • Act as the main point of contact for office-related matters
  • Ensure the office operates efficiently and implement preventive measures when needed
  • Coordinate with internal teams and external vendors, maintaining strong relationships
  • Support the implementation and improvement of office procedures and processes
  • Handle office communications, correspondence, and administrative requests
  • Maintain common areas and ensure proper organization of supplies and equipment
  • Provide administrative support, including:
    • Scheduling meetings and appointments
    • Organizing small internal events
    • Booking travel when required
    • Managing documentation and filing systems
  • Oversee office supplies and equipment, ensuring availability and proper functioning
  • Coordinate deliveries, catering, and other office services as needed
  • Support basic space and workplace organization (desk allocation, minor changes, etc.)
  • Report regularly on office status and needs to management

General Skills / Attributes

  • Bachelor's degree or equivalent
  • Two or more years of experience in office management
  • Strong time-management and people skills, high degree of flexibility, and excellent multitasking ability
  • Proficiency with office applications, and aptitude for learning new software and systems
  • Ability to maintain confidentiality of company information
  • Experience in developing internal systems
  • Advanced computer skills and experience with online platforms
  • Native in Italian and fluent in English; additional languages are a plus
