Job Description

The business support administrator will be based at our Rampion site in Newhaven. This role is to ensure the Operations Facility is safe & suitable for 50+ staff to work from, and to support the team in their administrative, logistical and procurement functions. You will be directly responsible for the day to day facilities management of the office, waste management, personal protective equipment and maintenance of site security to ensure the functionality of both the support and technician teams.

About the role

  • You will be directly responsible for the day to day management of the office facilities, external areas and warehouse fabric including:
    • Daily onsite administration of facilities management contractors
    • Maintain facilities related Operations Procedure
    • Administration and ordering of stationery, office/IT equipment, etc
    • Administration of video conferencing equipment and encouraging its use
    • Ensure compliance with GDPR requirements
    • Manage the implementation and recording of the sites security regime
    • Support the Business Support Coordinator with general administrative support, e.g. arranging meetings, coordinate set up of meeting rooms, supporting team travel arrangements, taking minutes, arranging catering etc
    • Recording work relating to the building in SAP PM
    • Enacting roles such as Fire Marshall and First Aider
    • To minimise disruption to building users there is a requirement to sometimes work at weekend to manage building maintenance
  • Responsible for administration and record keeping of a number of warehouse systems
  • Responsible for maintenance of the site security equipment and systems
  • Provide cover within the warehouse as staffing requirements dictate, to facilitate goods in, stock movement, and other tasks as required (including forklift and crane operation)
  • Site Environmental Champion

Job requirements and experience

  • Demonstrated organisational ability and communication skills
  • Problem solving skills and resilience
  • Able to self-manage within scope of decision making
  • Ability to work with corporate procurement/finance management systems
  • Good all-round level of IT proficiency with Microsoft Office applications
  • Good level of Health and Safety experience
  • Understanding of the requirements of facilities management
  • Knowledge of waste management
  • Brand awareness

As this is a site based role, you must live within a reasonable distance to Rampion.
