Job Description

The Operations Assistant is responsible for coordinating various activities related to document control, data management, KPI reporting and operational support. As an Operations Assistant, attention to detail and organizational skills will ensure the accuracy and up-to-date status of technical documents, drawings, and commercial correspondence. The Operations Assistant will be responsible for inputting document data into standard registers, generating control reports, and assisting with site document typing and follow-up. Their role also includes maintaining controlled copies of approved documents and drawings, ensuring easy traceability and safe custody.

Essential Duties and Responsibilities

  • Coordinate all activities related to the Document Control procedure, including technical documents, drawings, and commercial correspondence.
  • Input document data into the standard registers and formats ensuring that the information is accurate and up to date.
  • Generate the various documents and control reports as required.
  • Typing of site documents and follow up of all the site needs.
  • Ensure that controlled copies of latest approved documents and drawings are given to the appropriate staff, subcontractors, and suppliers as applicable.
  • Maintain updated records of all approved documents and drawings and their distribution clearly.
  • Maintain the documents and drawings in the Document Control folder under safe custody without any damage or deterioration with easy traceability.
  • Maintain the files and control logs as required by the project.
  • Collect and maintain historical records of all quality-related in-process check sheets, process-related work sheets, and production-related work sheets in a system that allows for easy document retrieval.
  • Help maintain and manage maintenance database.
  • Maintain Health & Safety committee meeting minutes and open items list, updating as required.
  • Maintain operations training matrix.
  • Generate daily and weekly attendance reports, recording responses from supervisors to justify absenteeism or lateness.
  • Generate Ops review open-issues list and follow up on open items with appropriate owners.
  • Maintains and updates operations rosters (employee list)
  • Monitors employee performance review dates and completions and follows up with Supervisor as needed.
  • Works with Production and Management team to coordinate activities between multiple Washington facilities
  • Washington Document control ISO administrator assisting with Audit reviews
  • Facilitates Production team purchasing activities & blanket orders, monitoring facilities budgets approving invoices, admin for Fastenal machine access.
  • Creating, maintaining, and distributing schedules for production: Pittman/3-shift for Washington Facilities.
  • Working with Management teams for Washington facilities on weekly management reporting of KPI's.
  • Ad hoc reporting & visualization of data for KPI and management reports.
  • Performs any other tasks deemed necessary by management.

  • Must be able to operate, position, adjust, or move equipment, tools, or materials necessary for production processes.
  • Capable of performing consistent, manual production tasks over long shifts.
  • Must be able to work in typical manufacturing environmental conditions, including areas requiring PPE, exposure to noise, and temperature variation.
