- You will support daily office operations, including platform and system management, document handling, filing systems, and general correspondence.
- You will take ownership of mail handling, office supply management, and coordination with vendors and service providers to keep our workspace functional and welcoming.
- You will provide day-to-day administrative support to employees and assist with onboarding activities for new hires - from access cards to onboarding sessions.
- You will manage our front desk and visitor experience, overseeing office access control, guest registration, and host coordination.
- You will support administrative invoice handling, record-keeping, and ensure compliance with office access procedures.
- You will contribute to office improvement projects and take on ad hoc tasks and initiatives as our team and environment evolve.
Your profile

- You hold a Bachelor's degree or completed vocational training in Business Administration, Office Management, or a related field.
- You bring at least 2 years of experience in office administration, facilities coordination, executive support, or a comparable administrative role.
- You are highly organized, detail-oriented, and known for your reliability and proactive approach to getting things done.
- You communicate clearly and confidently, with strong interpersonal skills that help you connect with colleagues and visitors alike.
- You are proficient in Microsoft Office applications (Word, Excel, PowerPoint, Outlook) and comfortable managing multiple priorities at once.
- Your language profile includes English at C1 level or above and German at B2 level or above; proficiency in Chinese is a strong advantage. A driver's license is a welcome plus.
