The Senior Proposal Coordinator leads the development of high-quality, compliant, and persuasive proposals that support our pursuit of software, consulting, and professional services opportunities. The ideal candidate will bring strong experience in proposal management, strategic writing, marketing, and cross-functional collaboration within an RFx environment. Success in this role requires the ability to analyze opportunities, develop compelling win themes, translate complex technical concepts into customer-focused value propositions, and manage multiple deadlines simultaneously.

Reporting to leadership within Marketing and Business Development, this position partners closely with sales, subject matter experts (SMEs), product teams, and executive leadership to support capture strategy, manage proposal execution, and help win new business.

Responsibilities

  • Leads end-to-end development of persuasive, high-quality proposals by organizing pursuit teams, analyzing solicitation requirements, developing proposal strategies, writing and editing content, creating graphics, and managing document production and submission.
  • Analyzes RFPs, RFQs, and RFIs to identify client requirements, evaluation criteria, compliance needs, and competitive positioning opportunities.
  • Collaborates with SMEs to develop win themes, value propositions, and differentiators that clearly articulate how our solutions address client challenges and deliver measurable outcomes.
  • Creates clear, compelling, customer-focused proposal content and guides SMEs in developing or enhancing technical and business narratives.
  • Assesses proposal quality by identifying content gaps, weak messaging, compliance issues, and opportunities to strengthen customer value propositions.
  • Supports development of marketing collateral in partnership with corporate marketing, translating technical capabilities and customer outcomes into compelling messaging.
  • Incorporates visual elements such as diagrams, callouts, tables, infographics, and other graphics to improve readability, comprehension, and persuasive impact.
  • Designs proposal content that is organized, easy to navigate, and optimized for evaluators and procurement professionals.
  • Develops, maintains, and improves proposal content libraries, knowledge management systems, resumes, project descriptions, qualifications packages, and other reusable marketing assets.
  • Coordinates presentation development, interview preparation sessions, and proposal-related customer communications as required.
  • Conducts post-submission reviews, captures lessons learned, and identifies opportunities to improve proposal quality and win rates.
  • Tracks proposal outcomes and communicates key insights to sales and marketing teams to support continuous improvement efforts.
  • Stays current on industry trends, procurement practices, emerging technologies, and AI tools that support proposal development.
  • Performs other duties as required.

Minimum Qualifications

  • Bachelor's degree in English, Communications, Marketing, Business, Journalism, or a related field, or equivalent work experience.
  • 5+ years of relevant experience in proposal management, proposal writing, proposal coordination, or related roles, preferably in the energy efficiency or utility industry.
  • Demonstrated experience leading proposal efforts from strategy development through final submission.
  • Proven ability to manage multiple concurrent proposals and deadlines in a fast-paced environment.

Preferred Qualifications

  • APMP certification preferred.
  • Experience responding to public sector procurements, including government, education, municipal, or other regulated environments.
  • Excellent writing, editing, and verbal communication skills with exceptional attention to detail.
  • Graphic design and visual communication experience, including the ability to create compelling layouts and proposal graphics.
  • Knowledge of AI tools and emerging technologies that support proposal development and content creation.
  • Expert proficiency with Microsoft Word, PowerPoint, and Excel; Adobe Acrobat; and other proposal production tools.
  • Experience with content libraries, knowledge management systems, and proposal repositories.
  • Ability to collaborate effectively across teams and influence SMEs without direct authority.
  • Ability to work in virtual and cross-functional team environments.
  • Ability to effectively multitask and prioritize competing deadlines.
  • Willingness to work evenings, weekends, or additional hours when necessary to meet proposal deadlines.
  • Self-starter with the ability to perform effectively under pressure and tight deadlines.

The anticipated base salary range for this role is $70,000 - $121,500. (presented in good faith). In addition to base pay, employees receive a comprehensive benefits package, including health insurance, retirement plans, and paid time off, and may be eligible for performance incentives, bonuses, commissions, or equity depending on the role.

Actual compensation will depend on factors such as internal equity, skills, experience, education, certifications, and location. This range supports our commitment to pay transparency and compliance with applicable laws. Compensation may vary by work location, including remote arrangements.
