What are we looking for?
The PA & Office Manager will provide high-level executive support while ensuring the efficient day-to-day operations of the office. This role combines managing the executive's schedule, communications, and travel with overseeing office administration, vendor coordination, and workplace services to create a well-organized and productive environment.
What Challenges will you face?
- Manage the General Manager's calendar, meetings, and travel arrangements.
- Act as the first point of contact with the travel agency to arrange flights, accommodations, and ground transportation in line with company policy.
- Prepare materials, presentations, and communications.
- Oversee information flow, expenses, budget, and reporting.
- Coordinate and execute internal and external events, offsites, and company meetings.
- Supervise and develop administrative and support staff.
- Oversee office operations, budgets, and vendor contracts.
- Manage office facilities, seating plans, and equipment.
- Support onboarding by preparing workstations and coordinating IT setup.
- Serve as liaison with building administration, security, and SHEQ teams.
- Provide backup reception support when required.
- Support with employee events and internal communications.
What knowledge do you require?
Educational, knowledge and experience background
- Strong organizational and time management skills to handle multiple priorities effectively.
- Excellent communication and interpersonal skills to interact with stakeholders at all levels.
- High attention to detail and accuracy in managing information, reporting, and scheduling.
- Problem-solving and decision-making abilities to address challenges proactively.
- Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with office systems.
- Discretion and professionalism in handling confidential information.
- Ability to work independently and as part of a team in a fast-paced environment.
