Job Description

Spark Power, a trusted partner in energy in North America, is looking for a Project Coordinator to join our Belleville team. The Project Coordinator plays a vital role in our organization by providing support in project setup, dispatching, invoicing, and report reviews. This position requires exceptional organizational skills, attention to detail, and the ability to handle multiple tasks simultaneously. The Project Coordinator collaborates closely with project and asset managers, team members, and external stakeholders to ensure the smooth execution of projects and the timely completion of deliverables.

What will do you as the Project Coordinator?

  • Assist in the setting up and initiation of new projects by collecting and organizing all necessary documentation and information.
  • Collaborate with project/asset managers to define project scope, objectives, and deliverables, and create detailed project plans.
  • Coordinate with cross-functional teams to allocate resources and establish project timelines.
  • Schedule and coordinate project tasks, assignments, and workflows based on project requirements and resource availability.
  • Communicate task assignments and project updates to team members, ensuring clarity and understanding of responsibilities.
  • Monitor project progress, identify any delays or potential issues, and promptly notify relevant stakeholders.
  • Generate accurate and timely invoices for completed projects, following established billing procedures and guidelines.
  • Review project contracts, agreements, and purchase orders to ensure accurate invoice and billing information.
  • Collaborate with the finance department to resolve any invoicing discrepancies, questions, or issues.
  • Track field service reports and help ensure that report submissions are done on time.
  • Review and edit reports for accuracy and clarity, including grammar and technical details.
  • Relay any recommendations or outstanding corrective maintenance items to the Project or Asset Manager responsible.
  • Make suggestions to field technicians and project/asset managers if reporting does not meet company standards.
  • Review and provide feedback with field technician time entries.
  • Serve as a central point of contact for project-related inquiries, providing timely and accurate information to internal and external stakeholders.
  • Foster effective communication and collaboration among project teams, ensuring all parties are well-informed and aligned.
  • Participate in project meetings, record minutes, and distribute meeting summaries, action items, and follow-ups as required.
  • Maintain comprehensive project documentation, including project plans, task lists, progress reports, and other relevant records.
  • Prepare regular reports and updates on project status, milestones achieved, and potential risks or concerns.
  • Conduct data analysis to identify trends, areas for improvement, and recommend solutions to enhance project efficiency.
  • All other duties as assigned
