Job Description

As an Administrative Assistant at Siemens Energy d.o.o., you will provide professional administrative, organizational, and coordination support to the Integration Director and broader management team. Acting as a trusted partner, you will help ensure the smooth operation of the integration management office, facilitate effective communication across internal and external stakeholders, and contribute to the successful execution of strategic and integration-related initiatives. Your role will combine office administration, coordination, event planning, travel management, and project support in a fast-paced, multicultural, and globally connected environment.

How You'll Make an Impact

  • Provide comprehensive administrative and organizational support to management, project teams, and integration initiatives, ensuring efficient day-to-day operations.
  • Coordinate calendars, meetings, travel arrangements, visitor logistics, events, trainings, and integration workshops while maintaining effective stakeholder communication.
  • Prepare, maintain, and manage correspondence, reports, documentation, internal databases, distribution lists, and organizational charts.
  • Support accounting and procurement activities, including vendor communication, quotation handling, order management, invoice processing, goods receipts, and payment approvals.
  • Facilitate collaboration and alignment across teams, suppliers, stakeholders, and integration workstreams to support business objectives and successful project execution.
  • Manage office administration activities, including office organization, documentation, supplies management, and other company administrative tasks as assigned by local management.

What You'll Bring

  • Bachelor's degree in Business Administration or a related field, or a completed apprenticeship as an office clerk or a comparable qualification.
  • 3 to 5 years of experience in an administrative, executive support, or similar professional role.
  • Strong proficiency in Microsoft 365 applications, with the ability and willingness to learn and adopt new digital tools.
  • Excellent organizational, multitasking, and prioritization skills, with the flexibility to adapt to changing business needs.
  • Experience working in a multicultural environment or supporting a global, multinational organization, combined with strong interpersonal and stakeholder management skills.
  • Excellent communication skills in English, both written and verbal; German language skills are considered an advantage.
