Job Description
Vaisala Industrial Measurements is searching for an experienced, highly motivated Events Specialist to execute our tradeshows and sales events in North America. You will partner closely with our marketing and sales teams to ensure successful in-person events that align with our growth strategy. In this role, you will enhance our brand visibility and foster customer relationships, while supporting our strategic marketing programs. This is a hybrid position in our Burlington, MA office with some travel expectations.

What's your Role?
- Manage execution of end-to-end event processes, pre and post event activities, vendor management and procurement
- Responsible for event budget management; forecasting, accruals, deferrals, invoice processing, tracking and expense reporting
- Typical tradeshow and event activity:
Pre-show:
- Book booth space and rentals, order promotional items, printed materials and other event-related services
- Communicate instructions and guidance for sales and speakers about staffing, event preparations, lead capture process, registration and hotel reservations
- Collaborate with marketing and sales to create booth assets that convey messaging and positioning for VIM solutions
- Manage production of booth assets (displays, banners, signage, etc.) with 3rd party vendors
- Prepare and ship event materials and instruments
- Ideate event promotion to drive targeted traffic to the booth
Onsite:
- Booth setup, traffic building activities, lead acquisition and managing speaking engagements
- Booth breakdown, returning rentals and coordinating return shipments
- Remote support when not onsite
Post-show:
- Post-show meeting to gather feedback and report on KPIs and ROI, communicate results to key stakeholders
- Provide input on tradeshow observations; competitors, publications, new trends
- Document all relevant activity on internal portal
- Create and manage event asset library and inventory storage for event materials
- Research and evaluate new event opportunities and speaking engagements
- Ability to travel up to 20-30% annually
What will you bring?
- Bachelor's degree in Marketing, Communications or a related field, or equivalent combination of education and experience
- 1-3 years of event management experience executing events
- Proven ability to influence key stakeholders, manage vendor relationships, negotiate contracts and adhere to budgets
- Highly organized with keen attention to detail, time management and capability to manage multiple tasks simultaneously
- Strong work ethic, intellectual curiosity and commitment to continuous improvement
- Comfortable building relationships and working both independently and as part of a cross-functional team
- Excellent written and verbal communication skills
- Familiarity with digital marketing tools and platforms such as Salesforce, Marketo or similar, Adobe/Canva and experienced social media user and advocate is a plus
- Capable of physically moving event assets up to approximately 30 lbs.
ANTICIPATED SALARY RANGE: $80,000 - $90,000 base salary with an annual performance bonus plan (on top of base compensation). Salary is determined by the education, experience, knowledge, skills, and abilities of the applicant, internal equity, and alignment with market data.
