Job Description
All Energy Contracting (AEC) is a leading construction contractor specialising in the energy and renewable energy sector, including solar, wind, storage, and hybrid facilities. Our core services comprise civil works, trenching, cable installation, electrical and mechanical installations, terminations, testing, commissioning (DC, LV, HV), operations support and maintenance expertise. Position Overview
The Contracts Administrator is responsible for supporting the management, negotiation, and execution of contracts across projects. This role requires a strong understanding of contractual terms, ensuring compliance with company policies, regulatory requirements, and industry standards. The Contracts Administrator will work closely with Project Managers & Senior Contracts Administrator to administer contracts, manage risks, and ensure the timely and efficient execution of contractual obligations. The position requires strong organisational, communication, and problem-solving skills, with the ability to manage multiple priorities in a dynamic environment.
Key Responsibilities
- Draft and administer main contracts, subcontracts, vendor agreements, supply agreements, and professional services agreements.
- Prepare and manage contract correspondence including letters, notices, and extension of time (EOT) claims in conjunction with Project Managers, ensuring timely submission.
- Maintain and be accountable for Contract Registers and Variation Registers.
- Ensure compliance with contractual requirements including time bars, submissions, insurances, bank guarantees, and related securities.
- Monitor and manage contract securities (bank guarantees/insurance bonds), insurances, accounts, and client billings.
- Ensure all contracts align with company policies, legal regulations, relevant Acts, and industry standards.
- Identify, report, and mitigate contractual and legal risks, supporting effective risk management strategies.
- Proactively manage contract risks and address breaches in a timely manner in accordance with contract requirements.
- Assist Project Managers with risk management (including risk registers) and financial reporting in line with project plans and budgets.
- Support variation investigations, assessments, and processing.
- Collect and analyse project data and assist with preparation of progress claims, payment submissions, and invoice reviews.
- Maintain accurate project documentation and ensure compliance with all record-keeping requirements.
- Support contract close-out processes including Practical Completion, Final Completion, final payments, and release of bonds, retention monies, and guarantees.
- Maintain strong stakeholder, supplier relationships and assist in resolving contractual disputes and discrepancies.
Required Skills and Experience
- 3+ years' experience in Contracts Administration or a related field (construction, energy, or infrastructure preferred).
- Tertiary qualifications in law, business, commerce, finance, engineering, or equivalent preferred but not essential.
- Sound knowledge of contract law, commercial principles, and industry standards.
- Strong analytical thinking and problem-solving abilities.
- Effective negotiation and mediation skills.
- Excellent communication and stakeholder engagement skills.
- Strong attention to detail with the ability to manage multiple priorities and deadlines.
- Customer service mindset with the ability to build and maintain relationships.
- Electrical and instrumentation experience will be highly regarded.
