Position Detail
We currently have an opening for an experienced Office and Events Coordinator. This position is hybrid and based out of our Burlington, MA location.
Reporting to the SVP, Corporate Operations, the Office and Events Coordinator works in close partnership with FirstLight's Executive team and provides advanced administrative support including calendar management, meeting coordination, and serving as the main point of contact for FirstLight's Executive team. The Office and Events Coordinator also manages all office administration tasks for FirstLight's corporate office and provides support to the Human Resources team.
In addition to providing support to the CEO, the Office and Events Coordinator will provide multifaceted support to all members of the FirstLight Executive team and their respective departments. The role will also focus on identifying and leading companywide initiatives to foster a strong culture and create process improvements to support organizational growth.
Our ideal candidate possesses the experience, passion and energy to be a driving force in FirstLight's continued evolution to accelerate the decarbonization of the electric grid to meet the clean energy needs of tomorrow.
The compensation for this position falls between $75,000 and $90,000/annually. The final compensation offered will depend on several factors that may include, but are not limited to, the type and years of relevant experience, industry-specific experience, relevant education/certifications and geographic location.

Key Responsibilities Include, But Are Not Limited To
- Coordinate internal and external meetings including, but not limited to, team meetings, all-hands meetings, offsite meetings, and one-on-one meetings.
- Prepare and coordinate materials such as PowerPoint presentations, internal /external communications, reports, org charts and other documents as needed.
- Responsible for all office administrative tasks for corporate office including maintaining office and facility supplies, coordinating with building management for maintenance services, and maintaining the administrative budget.
- Plan and facilitate quarterly offsite Board Meetings.
- Plan and facilitate all company events including but not limited to outings, trainings and parties.
- Develop and plan creative and engaging recognition programs and events for FirstLight employees and partners.
- Partner cross-functionally with FirstLight's North and South Site Administrators to align processes, collaborate on projects, and maximize productivity.
- Support the HR department with HR administrative tasks such as performance review management, and payroll back-up.
- Maintain a clean, inviting, and welcoming environment in all areas of the corporate office.
- Support cross-functional teams including HR, Legal, Finance, Operations, and Commercial teams with various projects as needed.
- Support Accounting with reporting functions including purchase card and expense reports, budget and forecasting for administrative functions, and invoicing.
- Coordinate travel arrangements for Executive team and FirstLight Board of Directors, when required, including flights, hotels, transportation, agendas and itineraries, and expense report preparation and processing.
- Perform other duties and responsibilities as assigned.
- Complies with all FirstLight policies and procedures.
Job Qualifications / Skills
- Bachelor's degree in business administration or similar field;
- 5+ years of experience in Office Administration or working with C-Suite executives;
- Strong organizational skills with the ability to prioritize and manage multiple projects in a complex and fast-paced environment;
- Proven ability to work independently with a high level of accountability, professionalism, and flexibility;
- Demonstrated ability to take initiative to progress/improve processes and functions;
- Excellent written and verbal communication skills;
- Strong interpersonal skills and ability to build positive working relationships across all levels and functions;
- Proficient experience in MS Office, particularly including Excel, PowerPoint, Word, Outlook, and Visio;
- Experience with IBM Maximo, preferred;
- Experience with ADP Workforce Now, preferred;
- Experience with Canva or similar programs;
- Must have valid, clean driver's license and the ability to travel to sites and other locations as needed.
