A full-time position exists for an experienced Executive Assistant for our Legal and Regulatory team to provide administrative and operational support to the Chief Legal and Regulatory Officer and the border Legal and Regulatory leadership team, in Sydney.

About the position

This full-time position operates on a standard Monday to Friday schedule in a dynamic, fast-paced environment. We offer a hybrid working arrangement with a minimum of three days in the office per week (typically Mondays, Tuesdays, and Thursdays).

Key Responsibilities

  • Organise the Chief Legal and Regulatory Officer's diary, team meetings, travel & expenses, and events, ensuring effective time management and prioritisation.
  • Coordinate agendas, take minutes and track action items for Legal & Regulatory Leadership meetings.
  • Oversee document control and management, including maintaining filing systems and securely handling highly sensitive and confidential documents.
  • Prepare and coordinate documents for meetings and general business, including editing presentations, reports, agendas, and printing necessary materials, ensuring all required documentation is ready.
  • Assist with email management, proactive communication, and retrieving or locating documents as required.
  • Assist with the planning and execution of departmental projects and initiatives.

About you

  • Significant experience in an Executive Assistant role supporting C-level executives, preferably within a Legal or Regulatory environment.
  • A proactive, discreet, and reliable professional with a mature approach to handling highly sensitive and confidential information.
  • Exceptional organisational skills, with a proven ability to manage complex calendars, varying workloads, and competing priorities under tight deadlines.
  • Proficiency in software applications, including the Google Workspace suite and Jira.
  • A self-starter attitude with a commitment to providing high-quality support to a high-performing leadership team.
  • Strong communication and interpersonal skills, with the ability to build effective relationships across all levels of the organisation.
