Job description
The Accounts and Administration Assistant will play a key role in supporting our Accounting and Bid Management functions. Working across two business segments, you will collaborate with colleagues to provide efficient administrative and financial support that underpins our day-to-day offshore engineering and renewables activity.
What will you be doing?
- Support project administration activities, including project set-up, monitoring, and task allocation within NetSuite.
- Assist with client and intercompany billing processes, ensuring invoices are raised accurately and in a timely manner across relevant finance systems.
- Prepare vendor payment requests and supporting documentation for bank and cash payments.
- Support month-end financial activities, including expense verification, work-in-progress (WIP) reviews, and timesheet compliance monitoring.
- Assist with debt collection activities and follow up on outstanding receivables.
- Provide administrative support for year-end tax preparation and statutory reporting requirements.
- Maintain accurate financial records and support the accounting team with day-to-day finance administration.
- Support bid management activities by maintaining opportunity trackers, monitoring submission deadlines, and coordinating bid deliverables.
- Assist in the preparation and submission of proposals, ensuring all commercial and administrative requirements are completed accurately and on time.
- Coordinate with technical and commercial teams to gather information, track actions, and support proposal reviews.
- Maintain bid and proposal records, including submission archives, client correspondence, and supporting documentation.
- Provide administrative support to the commercial team throughout tender and proposal development processes.
- Undertake additional administrative and finance-related duties as required to support business operations.
What are we looking for?
- Degree qualified in a relevant subject, with progress towards a recognised professional accounting qualification desirable.
- Minimum of 2 years' experience in an accounting, finance, or administrative support role.
- Experience supporting accounts payable, accounts receivable, invoicing, and financial reconciliations.
- Advanced Microsoft Excel skills and a good understanding of accounting principles, financial controls, and month-end processes.
- Knowledge of cost and management accounting, including the reconciliation of cash, debtor, and creditor accounts.
- Ability to maintain accurate financial records and work with a high level of attention to detail.
- Experience supporting administrative processes and coordinating multiple tasks and deadlines.
- Fluent in English.

This position can be based at our offices in Ho Chi Minh City or Vung Tau. You must have the right to live and work in Vietnam.
Regular travel between both offices may be required.
