About the Role

Freedom Solar is currently hiring a Benefits and Payroll Specialist.

The ideal candidate will be responsible for the administration of all benefits and retirement programs, including medical, dental, vision, life insurance, short-term & long-term disability and 401(k) plan.

Working alongside with the payroll team, you must be able to have strong communication skills, attention to detail, sound judgement, ability to meet deadlines, and be able to work in a fast-paced work environment.

This position reports to the Director of Total Rewards and will work on-site out of our Austin, TX Headquarters.

Key Responsibilities

  • Review, edit, and approves’ time keeping through ADP the company’s payroll vendor.
  • Follow up with Manager for missed punches to ensure appropriate allocation of labor.
  • Gather and enter payroll data to assist payroll team.
  • Research discrepancies, audit, and work with payroll team to resolve issues before payroll.
  • Work directly with employees to answer questions regarding their benefits and total rewards.
  • Assist and support the administration of open enrollment (annually in January), wellness fairs, and other benefit related events.
  • Open enrollment meeting, termination, and changes in benefits portal for participants in all benefit plans
  • Monitor staff members' eligibility for benefits programs, particularly as employment status changes.
  • Process, document, review and qualify leaves of absence requests company-wide (medical, work-related, personal)
  • Serve as liaison between HR/payroll and third-party administrators for processing of disability requests.
  • Function as liaison with third party vendor for COBRA and mandatory notifications.
  • Maintaining data integrity while entering new information and changes into multiple systems
  • Audit monthly benefit deductions and leave tracking reports.
  • Gather data to resolve benefits and payroll discrepancies.
  • Assign and administer employee refunds/collect premiums as appropriate.
  • Perform other related duties or ad hoc projects within the scope of responsibilities.
  • Coordinate with third party brokers to ensure that the company's benefits policy complies with laws and regulations.
  • Enhance and maintain SOP’s related to all compensation and benefit processes.
  • Develop communication materials and conduct training sessions to educate employees on compensation, benefits, and rewards programs, policies, and processes.
  • Ensure required healthcare documents are posted and available for employees (i.e., SPD's, benefit forms)
  • Coordinate and facilitate NON-FMLA & FMLA, as well as other leaves as applicable to the company policy and relevant laws.

Experience and Qualifications

  • 3-5 years related payroll and benefits admin experience.
  • Knowledge of Microsoft Excel spreadsheets.
  • Prior administrative experience strongly preferred.
  • High School Diploma or Equivalent, 3 years’ experience in an office environment.

Skills and Abilities

  • Ability to work independently under general direction.
  • Proficient knowledge of Excel.
  • Excellent communication and people skills
  • Ability to maintain confidential information.
  • Process and detail-oriented; great team player.
  • Ability to work with diverse and strong personalities to drive results in fast-paced environment.
