Job description
BA Wind's Document Management Offshore is responsible for the development and continuous improvement of Document Management maturity and compliance across the entire life cycle of Offshore wind farms. The team is the go-to-place for the trusted information around document management processes and associated IT tools, that enable our organization and external stakeholders to collaborate efficiently and complete their tasks from any place in due time.
Role Overview
You will become part of our Document Management Department with 23 skilled and enthusiastic colleagues who all support ongoing offshore wind project and sites. We are a diverse department with colleagues located across Northern Europe, and we offer a great extent of flexibility to plan and perform your work. You will work independently, but colleagues are always at hand when necessary, and we meet up regularly to share knowledge and offer support where needed.
In this role you will deliver support for a project in the construction phase. Your daily tasks include managing permission set-up, implementing workflow solutions, supporting with setting up metadata, views and libraries in SharePoint. You will also act as Quality Control for incoming documentation, start workflows, and update status on documentation.
Key Responsibilities
- Implementation of the Document Management procedures, processes, templates, applications, etc.
- Gate keeper of the document control rules, procedures and systems
- Run and manage the DMS for the project
- Ensure that engineering documentation meets the established standards and deadlines
- Distribution and follow up of documentation to internal and external stakeholders
- First line support for document control related issues
- As super user for the IT solutions, train project teams to ensure and enable proper understanding and use of the document control processes and systems
- Take active part in the Document Management network and interface with other departments, and share and implement best practices of Document Management
Qualifications
- Proven track record within the field of document management from project concept to handover with Contractor and Employer, preferably, in Wind business
- Super user in MS SharePoint
- Ability to organize, analyze and visualize data sets and trends
- Strong passion for project management, information management and system optimization
- Strong collaboration and stakeholder management skills, with the ability to build effective working relationships across diverse teams
- Proactive problem-solving mindset
- Detail-oriented and organized
- Eagerness to learn and adapt in a dynamic work environment
- Excellent verbal and written communication skills in English
