Job Description

The Development & Office Coordinator will support Nova's leadership and project development teams by coordinating office operations while actively supporting utility-scale project development activities. This role bridges operational excellence with hands-on exposure to renewable energy development workflows.

A successful candidate will gain meaningful exposure to greenfield development, positioning them to grow into a Project Developer role within 1-2 years.

Office Coordination Responsibilities

  • Provide administrative duties including greeting guests, receiving incoming deliveries/mail, responding/managing the general voicemail and email inboxes.
  • Assist with travel arrangements and coordinate onsite events.
  • Maintain office supplies inventory, proactively managing ordering and restocking, and take ownership of ensuring the office environment remains organized, tidy, well-stocked, and presentation-ready at all times.
  • Work with facility management vendors and the landlord to address cleaning and maintenance issues, and equipment/furniture needs.
  • Support the coordination of employee onboarding and IT hardware management.
  • Liaise with Accounting to onboard new vendors, gather required documentation, and ensure timely vendor setup.

Development Coordination Responsibilities

  • Collect, organize, and distribute meeting agendas and materials.
  • Complete first pass review of meeting decks and supporting materials.
  • Proactively drive internal stakeholders to provide required inputs, materials, and approvals to ensure development timelines are achieved.
  • Maintain and update company websites and social media profiles, ensuring brand consistency and timely responses to online inquiries.
  • Administer public affairs and community engagement meetings, including securing venues, arranging A/V rentals, coordinating catering, and managing event logistics.
  • Support lease package preparation, including document compilation, shipping, tracking signature status, and organizing files.
  • Assist with time-sensitive development documentation, including printing, mailing, tracking, and filing.
  • Become a commissioned Notary Public to support the execution of project-related agreements and land documents.

About You

You can juggle multiple, shifting priorities with ease. You are highly organized, detail-oriented, and proactive in anticipating needs. You take ownership of projects and enjoy learning new skills.

  • Ability to work in the office 8:30 - 5 pm, five days a week.
  • Strong organizational skills with the ability to manage multiple active projects simultaneously.
  • Clear and concise verbal and written communication skills with a people-first mentality.
  • Proven ability to operate independently with a "figure-it-out" mentality, demonstrating an eagerness to learn new systems and troubleshoot challenges with minimal supervision.
  • Ability to collaborate cross-functionally (development, accounting, leadership) while also working independently.
  • Excellent time management skills with a proven ability to meet deadlines.
  • High proficiency with Microsoft Office Suite and Adobe.
  • Experience maintaining professional websites via Wix, Squarespace, or WordPress, desired.
  • Interest in renewable energy development and desire to grow into a project-facing role.
