Job Description

This isn't a traditional EA role. Yes, you'll be brilliant at the fundamentals; managing a complex diary, coordinating priorities, creating order from chaos and keeping things moving. But you'll also be someone who genuinely enjoys being embedded in a fast-moving business and getting stuck into whatever is needed to help the team succeed.

Our operations team is at the heart of Octopus. They're the people delivering for customers every day, shaping our culture and driving the growth of the business. As our Global COO's EA, you'll be right at the centre of that. You'll work across teams, build relationships throughout the organisation and become a trusted partner to both COO, UK Operations Director and the wider operations leadership team.

What you'll do

  • Be the trusted right-hand person to our Global COO & UK Operations Director, helping create clarity, a little more structure and focus in a fast-moving environment
  • Act as a key point of contact across the entire Ops department and Leadership Team, building strong relationships and helping keep priorities moving forward
  • Manage a complex and ever-changing diary, ensuring time is spent on the highest-impact work
  • Coordinate domestic and international travel, often at pace and sometimes with last-minute changes
  • Help manage inboxes, communications and follow-ups, ensuring important actions don't fall through the cracks
  • Be a trusted sounding board and sense-checker, helping identify priorities and bring calm to busy periods
  • Own the planning and delivery of leadership offsites, team events and operational gatherings from start to finish, including logistics, venues, agendas, communications and creative elements
  • Support the business with ad hoc requests and projects, becoming a go-to person across the function
  • Organise board meetings, leadership sessions and strategic events, working closely with senior stakeholders and Executive Assistants across the wider group
  • Prepare briefing materials, meeting notes and key information ahead of important meetings, presentations and events
  • Coordinate onboarding and support for senior hires joining the Operations team, helping them settle in and become effective quickly
  • Embed yourself and work across multiple teams - supporting projects, communications and operational initiatives
  • Help organise team socials, celebrations and culture-building moments that make Octopus a brilliant place to work
  • Support the COO & UK Operations Director's communications and experiences with customers, working with the teams to ensure an outrageously good service and, at times, replying to customers directly
  • Welcome visitors to our London office and create a fantastic experience for colleagues and guests
  • Manage expenses, approvals and administrative processes efficiently and accurately
  • Work alongside the EA team, being a team player and offering support and advice when needed

Who you'll be

  • An experienced Executive Assistant with least 2 years' experience supporting a c-suite executive
  • Thrive in a fast paced environment, comfortable with ambiguity and autonomy
  • Calm under pressure
  • Friendly and approachable, no task is too big or small. Someone who loves working with people, enjoys making things better and gets energy from helping others
  • Able to put yourself in others' shoes
  • Solutions driven; you anticipate needs and remove blockers before they arise
  • Exceptionally organised with efficient time management, with the ability to prioritise effectively

This position is office based, with flexibility to work from home when needed.
